The Problem: Staff members were opening thousands of "Tier 1" support tickets for simple policy clarifications -questions like "Am I eligible for bereavement leave?" or "How many personal days do I have left?" This created a massive bottleneck for HR departments, whose time was consumed by routine queries rather than strategic work.
The Goal: Productize PowerSchool's enterprise RAG engine (Powerbuddy) to provide instant, grounded answers to employees - specifically using their district's unique "Source of Truth" documents - eliminating the need to open a ticket or wait for an HR response.
Understanding the Problem Space
Before defining the product, I needed to understand the full complexity of the HR knowledge problem in K-12 districts. This wasn't a simple FAQ chatbot use case - it required domain-specific rigor.
The Fragmentation Problem: Every district operates under its own negotiated union contract. A question about "sick leave" could have 500+ different legal answers depending on which district's CBA applied. A general-purpose AI would confidently hallucinate an incorrect answer with serious legal and HR consequences.
The Trust Problem: HR compliance data requires 100% accuracy. Stakeholders - both district administrators and union representatives - would not accept an AI assistant that couldn't cite its source. Without source attribution, the product had zero chance of enterprise adoption.
The Integration Problem: The AI assistant had to live inside the Employee Records workflow, not as a standalone tool. Employees needed answers at the moment of confusion - not by navigating to a separate product.
The Action: Productizing the AI Journey
I led the verticalization of the Powerbuddy RAG engine to ensure it functioned as a specialized, compliance-grade HR assistant rather than a general chatbot.
Data Ingestion Strategy: I defined the logic for indexing district-specific PDFs and policy documents within the Employee Records module. The ingestion pipeline was designed to respect document versioning -ensuring the AI was always grounded in the current, ratified version of a district's local contracts, not an outdated draft.
Compliance & Citation Guardrails: I spearheaded the requirement for mandatory Source Attribution on every AI-generated response. The bot was engineered to provide a direct link or page reference to the official policy document for every answer -giving employees a verifiable, legally-sound citation and giving HR admins the audit trail they needed.
Contextual UI Integration: I mapped the employee user journey to identify the highest-friction moments inside Employee Records - benefit inquiries, leave requests, policy lookups - and embedded Powerbuddy contextually at each touchpoint. The goal was to make self-service the path of least resistance.
Human-in-the-Loop Accuracy Loop: I established a structured pilot validation process where District HR Admins reviewed and verified AI responses during rollout.
